The pipeline: site visit, estimate, pour
Concrete books off a site visit, not a phone call, and the chain is long: inbound call, estimator site visit, measured estimate, then a decision that lands three days to six weeks later. Three scheduling objects, not one, and most shops track the first two and lose the third.
Book the site visit like a real job. It has an address, a driver, drive time and a window. If your estimator is also your foreman, that visit competes directly with production and belongs on the same calendar, not in a separate notebook. - Form and layout. Often the day before, and a smaller crew than the pour.

The real limit on a concrete business is not calendar space, it is how many pours your finishers can handle in one morning. Two pours at 7 and 8 a.m. across town look fine on a calendar and are frequently impossible, because the finish windows overlap and finish work does not wait. The honest capacity question is how many slabs this crew can finish properly today, and what happens if both come ready at once.
So cap pour days by crew, not by hours. One finish crew means one pour per finish window, full stop. Two crews means deciding in advance which one covers which job and putting their names on it. Where equipment is the constraint, a pump or a power screed or a ride-on trowel, treat it as a schedulable resource with its own row so it cannot be double-booked.

A homeowner walks past that driveway for a decade, and when a hairline crack shows up in month eight, the conversation goes better with photos.
Before. Existing conditions, drainage, the old surface, tree roots, the crack you warned them about, the curb that was already damaged. This is your protection against the claim that your truck did it.
During. Base and grade, reinforcement placement and spacing, edge thickness, form heights, the ticket from the truck. This is the record that answers the questions that actually come up later.
After. Finished surface, joint layout, edges, transitions, and the barricades or tape you left behind.

Concrete commits real material cost before you get paid. A deposit at signing funds the material and confirms the customer is going ahead, protecting the truck order.
